Located in Princeton Junction, Westrick Music Academy (WMA), home to the world-renowned Princeton Girlchoir (PGC) – which was founded in 1989 – and the Princeton Boychoir (PBC) – seeks a Choir Coordinator/Music Librarian.

POSITION SUMMARY
Reporting to the Operations Manager and working with the Operations Team and the Artistic Staff, the Choir Coordinator/Music Librarian at WMA is a multifaceted position requiring a combination of administrative, organizational, and interpersonal skills to ensure that all aspects of the academy's world-class choirs run smoothly. The Choir Coordinator/Music Librarian is responsible for the effective management of rehearsals, performances, choir communications, and the music library. This role is crucial in supporting the artistic vision and operational efficiency of the Academy's programs, including developing and nurturing relationships, ensuring timely communications with students and families in our choirs and education programs, and managing rehearsals and performances. A more detailed description of this position includes:     

REHEARSAL MANAGEMENT
Oversee choir rehearsals, M-Th evenings (generally from 4:00 PM to 9:00  PM); prepare rehearsal studios: set up and breakdown of chairs, organize music folders, maintain and provide rosters, and ensure both studios and office area are left in good condition for the next rehearsal/rental, etc.); manage chorister check-in/attendance; manage in-the-moment chorister/director needs during rehearsal; ensure all choristers are safely returned to their parents after rehearsal; follow protocols to ensure the safety of choristers and the security of the facility.

Using Salesforce, assist with the audition and registration processes; maintain attendance records; manage/oversee the creation and distribution of chorister binder covers and lanyard name tags.

Most importantly: Follow protocols to ensure the safety of choristers and the security of the facility.  

MUSIC LIBRARY MAINTENANCE
Work with Music Staff and Operations Manager to ensure the distribution, collection, and cataloging of music; ensure that returned music is filed and cataloged correctly; supervise/assist Rehearsal Interns and Conducting Fellows in distributing and collecting music.

OFF-CAMPUS EVENTS
Manage backstage logistics during dress rehearsals, performances, and field trips; serve as tour manager for concerts, events, and outreach performances. 

COMMUNICATIONS
Maintain membership records and ensure timely communication of operational information to students and families; partner with the Marketing & Communications Director to ensure accurate information on the website and internal apps; communicate regularly with parents/families regarding rehearsals, performances, events, and absences.

OTHER
Support Office Manager in the creation and management of tickets for upcoming events through PatronManager (on Salesforce platform); oversee boutique sales utilizing Square for transaction processing; performs other duties as assigned.

KEY SKILLS & QUALITIES

Organizational Skills: Managing multiple aspects of choir operations efficiently.

Communication Skills: Ensuring clear and timely communication with all stakeholders.

Attention to Detail: Maintaining accurate records and ensuring the proper management of the music library.

QUALIFICATIONS

Two-three years of experience in operations for a performance or presenting organization (college experience qualities). 

Knowledge of choral repertoire and performance practices with a high sense of professionalism in performance presentations. 

Problem solver with outstanding communications skills who will contribute to a positive, collegial, good-humored work atmosphere to get results in a fast-paced, high pressure, deadline-oriented environment. 

Computer proficiency on Patron Manager/Salesforce, Microsoft Office Suite, Google Suite, preferred. Ability to learn new platforms is critical.

Experience working successfully with varied artists such as conductors, singers, music producers, talent agents, etc. 

Availability to work nights and weekends as needed for the position. 

Bachelor’s degree

Bilingual proficiency a plus

This position is expected to work approximately 22-29 hours per week, Mondays through Thursdays, 3:30/4:00 PM - 8/9:00 PM. Non-rehearsal hours are flexible. It is anticipated that you will need to work 20-30 weekends over the concert season (Sept through June), which is 2-3 weekends per month. Comp time will be provided based on actual hours worked.
