About Us:

The New York City Master Chorale (“NYCMC”) seeks to fill the part-time position of Operations Associate.

 

The mission of the New York City Master Chorale is to connect people through choral music by presenting high-quality concerts inspired by the distinct energy, diversity, and talent of New York City. NYCMC is a choral community dedicated not only to an inclusive, social atmosphere but also to performances of the highest caliber.  The chorale is a 501(c)(3) non-profit organization governed by a volunteer board of trustees.  

 

We are hiring for a non-exempt position at approximately 8-10 hours per week, with the potential for more hours during busy periods (typically concert weeks, 3x per year) and fewer hours when the choir is not in session in June/July.  This position requires regular in-person evening hours on Wednesdays at our rehearsal locations in Manhattan, occasional in-person evening hours to attend meetings of the board of trustees, flexible additional remote hours, and requires a complete Covid vaccination.

 

Position Summary: 

Directly reporting to the Chair of the Board of Trustees and working closely with the Artistic Director, the part-time Operations Associate plays a critical role in supporting the chorus by managing and maintaining high-quality operations, streamlined rehearsal and event logistics, and updated organizational systems.

 

The Operations Associate oversees operational support across the organization, primarily scheduling and setting up for auditions and rehearsals, ordering and distributing sheet music for the chorale, managing the paper mail and virtual inbox, and providing light project coordination and operational support for the Artistic Director and board of trustees—without direct administrative or calendar duties.

 

This position is ideal for someone who is highly organized, detail-oriented, technology-savvy, and passionate about supporting people through choral music.

Desirable Qualifications:

  • Some knowledge of music / musical organizations
  • A high level of proficiency with Google Docs and web-based email design (Mailchimp)
  • A high degree of attention to detail, and the ability to produce accurate work with limited direct oversight
  • The ability to work effectively both independently and in close collaboration with teammates and volunteers
  • A desire to learn new skills and technologies
  • Ability to move from big picture ideas to the details of implementation and back again, adjusting programs and activities as conditions or feedback require

 

Principal Duties:

 

  • Team Support
    • Serve as the first point of contact for chorus members for operational and logistical needs 
    • Develop and maintain positive working relationships with the board of trustees and Artistic Director, as well as chorus members, who audition and join the organization avocationally
    • Attend monthly board of trustees meetings and report on activities
  • Partnership & Donor Management:
    • Provide tracking oversight of donations in donor management system
    • Draft and share donor thank you letters on behalf of the board
    • Coordinate scheduling and logistics for school outreach program and events
  • Event Coordination & Logistics:
    • Lead logistical planning and operations for chorus events (rehearsals and concerts), including site scouting/locating, booking, venue coordination, compiling program materials, hiring of musicians, and communications in partnership with Artistic Director and Board
    • Oversee day-of operations management of concerts, including distribution of program materials, managing volunteers, ticketing and other front-of-house responsibilities, backstage logistics, and stage managing in certain venues
    • Set up rehearsal space and staffing information table; providing mid-rehearsal announcements, performing other organizational tasks during rehearsals on Wednesday evenings
    • Schedule and manage auditions process in partnership with Artistic Director
  • Administrative Support:
    • Monitor NYCMC paper mail 
    • Order and distribute music for the chorale
    • Manage virtual organizational platforms for the choir including Google Drive account, website, and singer management software
    • Potential for periodic involvement with updates and posts to the organization’s email and social media channels

 

Compensation and Benefits: 

Position is part-time hourly non-exempt without benefits; compensation is $22-$25/hour, depending on experience.
